We store and process your information on the basis of public benefit of the Walcot Foundation’s charitable purposes. We collect information from you via online application forms, email communication and letters. We also store information about you from referees that you have nominated. Your information is stored securely on our cloud databases (Salesforce and Form Assembly), our server and paper filing systems.

How long is your information kept?
For legal and auditing purposes, we need to retain your information for seven years. After seven years, all paper records are destroyed. Information is retained on our computer records in perpetuity for archive/historical purposes. This archive material will not be shared with external bodies or used to contact you. However, if you wish to have your data removed from our historical database after the seven year period, please contact us on [email protected]

- For individual contacts within organisations/schools, with your consent, we may pass your work email (which under GDPR is considered personal information) to other relevant grant-makers, statutory organisations or community groups that may be interested in your services

We may use your information to:
- Assess and process a grant request (which may include contacting referees that you have provided)
- Make grant payments to you or related third-party providers (e.g. childcare providers)
- To request updates from you so as to monitor the impact of our grants
