Standard Reporting
We require you to complete an online monitoring form at the end of each year of your funded project (or as otherwise specified in the formal agreement). You will be expected to report against your agreed outputs and outcomes. The late filing of reports may count against an organisation seeking future awards. We have created an anonymised sample Grant Report for Walcot Foundation organisation/school grants. This is just for illustrative purposes in order to help give guidance on the type and level of information we are looking for in grant reports.
We make grants to organisations as a means of delivering our objectives for individuals. We ask that grantee organisations track the following for each beneficiary of our grant –

- These terms should be agreed by email by an authorised representative of the grantee organisation before the first payment is released by the Foundation.
- Second and third year instalments (where agreed) will be paid only when the Foundation is satisfied all is going to plan. We require monitoring reports from grantee organisations to help us decide this, and we may make visits. Where we need further information we will ask, and where we have any concern, we will raise these.
- For multi-year grants, future instalments are conditional upon the availability of funds on our side.
- Grantees will be asked to report against their outputs and outcomes by completing a Grant Report at the end of each year of funding. If a grant is for more than one year, please submit the Grant Report Form at or around the 10-month mark rather than waiting for the 12-month mark. That way if there are any questions about continued funding both parties will know in reasonable time. The reporting schedule will be confirmed at the point of payment.
- The organisations we fund are often well placed to help us reach the individuals at the heart of our charitable work. We expect grantees to signpost our grants-to-individuals to their clients/service users (where appropriate). Grantee organisations should also be aware that the Foundation funds a dedicated advice worker at Centre 70 advice centre in West Norwood who can offer support with filling in our grants-to-individuals application forms. Details can be found on our website.
- The Walcot Foundation makes grants to organisations as a means of delivering on our objectives for individuals. We ask that grantee organisations track the following for each beneficiary of our grant: Lambeth home postcode; how it was verified that the individual came from a low income household; baseline assessment; progress against targets.
- We ask grant recipients to acknowledge the Walcot Foundation’s support in any publication (printed or electronic), poster or presentation and, if possible, in any related newspaper article or broadcast media. Acknowledgements should use our name - The Walcot Foundation - and where appropriate our logo (details here PAGE LINK NEEDED). If grant recipients wish to issue press statements that mention us, we’d like to be given a draft for comment in advance.
- The Foundation has the right to reclaim (or partially reclaim) grant payments where not all grant money has been spent (e.g. project ceases work half-way through planned operation) or conditions of the agreement have not been complied with.
- If a grantee-organisation expects there to be any material change to the purpose, activities, timescale or expenditure of the grant, it must contact us in advance to seek our written agreement. This is particularly important if the change relates to any post funded with this grant. We understand that plans change, and our aim is to be flexible and helpful when this occurs. Talk to us at the earliest opportunity.
- We require that you agree to inform us of serious incidents, including but not limited to safeguarding or fraud (whether relevant to the funded project or not), plans for major changes to the governance of the charity, planned mergers or changes of key personnel such as the Chair of Trustees or CEO.
